PTSO Board Nomination Form
Parent involvement is critical to the success of our school.
Please consider volunteering to serve on the 2023-2024 PTSO Board. The SSDI PTSO is a well-established organization with tools, templates, and best practices readily available to assist incoming board members. Time commitment varies per board position. Some roles require only two hours per month, some are seasonal, and a few require a regular commitment.
Complete and submit the below nomination form before noon on April 10, 2023, if you wish to nominate yourself or someone else to serve on the 2023-2024 SSDI PTSO Board.
Board Position Descriptions
- Maintain communication between the PTSO and SSDI administration, staff, and parents.
- Conduct all PTSO Board Meetings, including preparation and distribution of meeting agenda.
- Oversee and coordinate day-to-day operations of PTSO.
- Serves as an ex-officio member of all committees.
- Assist the Treasurer with the preparation of an annual budget.
- Assist the president as needed.
- Perform duties of the President when absent.
- Provide monthly budget analysis.
- Ensure accounting of all funds.
- Responsible for timely deposits and disbursements of PTSO funds.
- Work closely with the president and outside CPA to meet all non-profit financial guidelines.
- Present up-to-date financial status during monthly board meetings.
*Financial background preferred.
- Record meeting minutes.
- Send meeting minutes for review and approval.
- Distribute meeting minutes and the *monthly newsletter to PTSO members.
- Write and distribute thank you notes, letters of appreciation, cards, etc. as needed.
*The Newsletter Editor prepares the newsletter; positions can be combined.
- Coordinate a 6-day holiday shopping event for students.
- Purchase items for sale; pre-wrap as needed.
- Coordinate staffing with the Volunteer Coordinator.
- Coordinate information sharing with the Communications Coordinator.
- Maintain program budget; provide final accounting and reporting.
- Setup and decorate Candy Cane Lane.
- Tear down Candy Cane Lane.
- Present program status during monthly board meetings.
- Contribute to the monthly newsletter.
*It is recommended that this position assemble a committee.
*This position may be split between two chairs.
- Maintains PTSO Facebook.
- Work closely with the Volunteer Coordinator.
*This role may be split between board members depending on need and board member specialty.
*If necessary, this role may also be combined with the Volunteer Coordinator position.
*This role may also be combined with the Website Administrator position if necessary.
- Provide department support.
- Coordinate Family Fun Night with PE.
- Coordinate department and grade-level support as needed, including special requests for social media posts.
- Prepare bookkeeping and financial processing for support-related events.
- Present program status during monthly board meetings.
- Contribute to the monthly newsletter.
- Coordinate PTSO Fall Fundraiser.
- Coordinate PTSO Spring Fundraiser.
- Coordinate prize distribution.
- Maintain program budget; provide final accounting and reporting.
- Present program status during monthly board meetings.
- Contribute to the monthly newsletter.
*This position may be split between two chairs.
*The PTSO does not host or coordinate department or grade-level fundraisers.
- Official host of the PTSO.
- Coordinate food and/or special gifts for teacher events (Back to School Breakfast, Testing Luncheon, and Teacher Appreciation Week, etc.).
- Make and distribute birthday bags for students.
- Maintain program budget; provide final accounting and reporting.
- Present program status during monthly board meetings.
- Contribute to the monthly newsletter.
*This position may be split between two chairs.
- Tidy Lost & Found cubbies so students can see and locate misplaced items.
- Look for names in lost items and return them to students’ classrooms.
- Share images of lost items on social media.
- Share images of lost items with iTV team.
- At the end of the school year, donate items remaining in Lost & Found to a local charity.
- Maintain membership records and accurate membership count.
- Manage membership drive party.
- This position works closely with the Communications Coordinator.
- Maintain program budget; provide accounting and reporting.
- Present program status during monthly board meetings.
- Contribute to the monthly newsletter.
- Coordinate information to share with board members, program chairs, and program coordinators.
- Format newsletter in the software of newsletter editor’s choice.
- Prepare monthly newsletter for approval by the PTSO president and school principal and distribution by the PTSO secretary or person responsible for communicating directly with PTSO membership.
*This position may be combined with the secretary’s duties or distributed to another board member, given their background and interest.
- Manage t-shirt design, design selection, ordering, and inventory.
- Oversee/delegate t-shirt/sweatshirt sales fulfillment throughout the year.
- Work with the principal to establish Spirit Day calendar before the start of the school year.
- Coordinate monthly spirit events (may include fundraising activities), contests, and giveaways.
- Maintain program budget; provide final accounting and reporting.
- Present program status during monthly board meetings.
- Contribute to the monthly newsletter.
- Request local grant money to purchase classroom snacks and water.
- Shop as needed.
- Maintains program budget; provides final accounting and reporting.

- Coordinate volunteer support for school activity.
- Ensure volunteers have Approved Background Checks on file with the principal’s office.
- Use SignUpGenius.com to communicate and coordinate needed volunteers and/or needed donations.
